* 2026 PRICING GUIDE // NO QUOTE-ONLY DODGE

What trade show staffing costs in 2026.

Most agencies say "it depends" and ask you to fill out a form. It does depend, on exactly four things. Here's what moves the number, what's in the quote, and how to cut cost without cutting quality.

>> WHAT MOVES THE NUMBER

The four cost drivers.

01 // ROLE

Who stands in the booth

A host and a technical demo lead differ in training time and in how many people can do the job. That gap is the biggest line on most quotes.

02 // MARKET

Where the show is

San Francisco and New York run higher than Las Vegas, Orlando or Dallas. Union venues can add venue labor on top.

03 // HOURS

How long the shifts run

Show hours, setup days, evening receptions and breaks. Long shifts without rotation burn out staff by day three.

04 // LEAD TIME

How far out you book

Ten weeks gets the best people at standard rates. A 48-hour rush is possible in most metros and priced as rush.

>> WHAT'S IN THE QUOTE

Included, and what costs extra.

Included

  • Casting, background and reference checks
  • Payroll, insurance and scheduling
  • Spark GPS check-ins, lead capture and recap
  • Team lead on site for every shift
  • Nightly lead export

Quoted separately

  • Travel and hotel, only when we can't cast locally
  • Training days beyond the standard brief
  • Overtime past the agreed shift length
  • Union venue labor billed by the show contractor
  • Uniforms or branded apparel
>> SPEND LESS, LOSE NOTHING

How to cut cost without cutting quality.

  1. Book ten weeks out

Early bookings get the best specialists at standard rates.

  2. Put the specialist on the station

Your most expensive role belongs at the demo, not greeting in the aisle.

  3. Cast local

Local crews in our Tier 1 and 2 cities remove travel and hotel from the quote.

  4. Staff to the traffic curve

Add hosts for keynote breaks and opening morning, trim them in the quiet last afternoon.

>> QUESTIONS

Trade show staffing cost, answered.

How much does trade show staffing cost per hour?

It depends on role and market. Booth hosts sit at the low end of the range and technical demo leads at the top. Send us the show and dates for an exact number within 24 hours.

Why do union convention centers cost more?

Some venues reserve certain work for union labor. Brand staff can still host and demo, but setup, rigging and some electrical tasks may need venue labor billed separately by the show contractor.

Is travel included in a trade show staffing quote?

Only when we can't cast locally. In our Tier 1 and Tier 2 cities we staff with local crews, so most quotes carry no travel line at all.

How do I lower my trade show staffing cost?

Book early, keep shift lengths efficient, cast local, and put your most expensive specialist only on the demo station while hosts handle the aisle.

Do you charge for training days?

Yes, when the product needs hands-on time before the show. Training hours are quoted as their own line so you can see exactly what you're paying for.
