The week before a major activation, the most common 9pm call we get is some version of: 'the permit didn't come through.' If you've ever had to cancel a 4-city tour 72 hours out because one DMA's special-events office sat on paperwork, you understand why we now build a permit timeline backward from the event date with a 4-week buffer.
Alcohol sampling is its own world. State-by-state rules range from 'walk in with a six-pack' to 'requires a licensed wholesaler partnership filed 60 days in advance.' Texas, Utah, Pennsylvania, and several others will surprise you. Build the brief assuming alcohol sampling is a partnership with a licensed distributor, not a logistics problem.
Food sampling triggers health department oversight in most jurisdictions. ServSafe-certified staff, hand-wash stations, temperature logs, and same-day sample disposal protocols are baseline. The fine for getting it wrong is small. The brand-damage video of a closed-down booth is not.
Insurance is the line item brands try to cut and shouldn't. The cost of general liability coverage for an activation depends on scope. The replacement cost is one slip-and-fall lawsuit. Carry the coverage every time.
