From RFP to Recap: The 90-Day Activation Timeline

Week 1 to 2: RFP response, scoping calls, alignment on the headline goal. Skip the temptation to write a 40-page response. A tight 12-page POV with three creative directions, a budget structure, and a clear measurement plan wins more often than the exhaustive version.

Week 3 to 4: Contract, kickoff, and the all-important creative lock. Activations die in week 12 when creative is still being approved in week 4. We hold a hard creative-lock meeting at day 21 and anything not signed off shifts to a 'phase 2' bucket.

Week 5 to 8: Production. Asset fabrication, staffing offers, permit submissions, venue contracts, insurance binding. This is the boring stretch. It's also where the campaign is actually won or lost, every week of slip here compresses training and rehearsal at the end.

Week 9 to 11: Training, rehearsal, dry runs, final logistics. Week 12: Execution. Weeks 13 to 14: Recap deck delivery within 72 hours of close, then a deeper +30 day measurement readout once attribution data has settled. That 90-day arc is the standard. Compressing it works occasionally; doing it well requires a team that's run the loop dozens of times before.
